Supporter administration

Behind all good fundraising initiatives is the requirement for strong data management and IT processes. Led by our UK IT department and supported by our European IT team based at our group head quarters in Stuttgart Germany, we have developed our own CRM system and fully automated direct debit management facility. Click on the links below to discover more about each of our supporter administration services.

BACS approved bureau

Wesser are the only fundraising agency that extends its services to include direct debit processing with responsibility for the sending of payment instructions, collecting of direct debits and the crediting of payments directly to the your charity’s account. As a BACS Approved Bureau since our foundation in the UK in 1998 we now process in excess of 750,000 debit instructions per year.

With a commitment to a personal and tailored service we will work with you to find the best and most secure way to compile each debit file from your database and to update each supporter record with any amendments or cancellations. 

Database management

As pioneers in this field and with over 25 years of experience having developed our own in-house CRM system we are now managing and debiting over 2 million supporters throughout Europe every year. We aim to offer an entirely bespoke and tailored service with our database management solutions encompassing any or all of the following:

edirect debit

In full consultation with you and your charity we can design and implement a fully branded paperless direct debit web form complete with a gift aid declaration allowing you to gain maximum benefit from the donation and for the supporter to donate safely, securely and in a way that is cost effective for the charity. 

The supporter’s account number and sort code will be validated at point of capture to ensure that no debit fails due to error as to will the supporter’s email address to ensure that the donor receives a branded email confirming their donation and thereby saving fulfilment and further administrative costs.

Card payments

In providing a card payment solution we can develop a fully branded webpage enabling you to collect either one-off or continuous credit or debit card donations.

Our card payment solution features:

  • Instant card verification and real time card payment authorisation
  • The crediting of payments direct to your charity’s bank account

Mail fulfilment

As part of the rules of the direct debit scheme you are required to send an advance notice letter to the supporter a minimum of 10 days prior to the first debit taking place.

As standard Wesser will prepare, print and send a single page (single or double sided) letter to ensure that you meet this obligation in a timely and cost effective manner.

Wesser can also provide the services of our creative department and after discussion with you draft the design and copy on your behalf.
